10 Volunteer Reminder Email Templates for Church Teams

Most missed Sundays start with a missed detail, not a lack of care. A church volunteer reminder email says who is on, when to arrive, where to stand, and who to tell if plans change.

Start from a volunteer reminder email template instead of a blank page. Below are ten for small churches: greeters, kids, worship, tech, coffee, parking, setup, prayer, a general serving note, and a thank-you after the service. Each one has a subject line and a short body. Replace the placeholders in brackets, drop what does not fit, and send.

The habit behind the words is in church volunteer communication: one predictable note each week, with a reminder, a thank-you, and a single update.

Keep the reminder useful

A serving reminder email that only says “you’re on” still leaves people guessing. The notes people actually answer usually cover five things:

  • Who. Name the team, and name a person to find on arrival.
  • When. Give the arrival time, not just the service time. “Be in the lobby by 8:40” beats “Sunday morning.”
  • Where. A door, a room, or a lot. New volunteers do not know the nicknames yet.
  • What to bring. A name tag, closed-toe shoes, or nothing. Say it even when the answer is nothing.
  • Who to text if you can’t make it. One name and one number. Saturday is a better time to hear about a conflict than Sunday.

If something changed this week, put that in the first line.

These templates work as a note everyone on your list can receive. The subject names the team, so the right people stop and everyone else can skim past. Some churches keep a smaller list of the people who serve, and the same wording fits there. Either way, the send goes to everyone on the list who has agreed to receive email.

Send it the next day, and name one real thing. A way to rotate thanks through the month is in church volunteer communication.

Paste it into this week’s announcement

Pick the template that fits this Sunday, fill in the names and times, and paste it into a Hey Church announcement. Then send it to your list.

Set it to repeat Weekly, Every 2 weeks, or Monthly, and update the dates before it goes again. Or use Send later to schedule a single reminder. Weekly, every-2-weeks, or monthly announcements and Send later are included on every plan, including Free.

Add volunteers manually, with a CSV upload, with a QR signup link, or with a one-time Planning Center import. The import brings people in once. It is not a sync, so import again when the list changes. See how to add contacts. More copy for events and welcomes is in the church announcement email templates.

The Free plan includes 250 contacts and 500 emails a month.
